Privacy Policy
Effective 02nd September, 2026. How JOD Events collects, uses, and protects your personal information.
JOD Events — Privacy Policy
1. Introduction
JOD Events, a unit of JOD Business Services (“JOD Events”, “we”, “us”, or “our”), respects your privacy and is committed to handling your personal information responsibly.
This Privacy Policy explains how we collect, use, share, retain, and protect personal information when you visit our website, register for events, purchase tickets, submit enquiries, or use our event management and booking services.
It applies to website visitors, participants, ticket purchasers, event hosts, organisers, and their authorised representatives.
2. Our Role as Organiser and Platform
JOD Events may organise or manage events directly, or provide registration, ticketing, payment facilitation, and related services for independent event hosts.
For events hosted by another organisation, the relevant host will be identified on the event listing or registration page. Information necessary to fulfil your booking and facilitate participation will be shared with that host.
JOD Business Services is responsible for personal information it processes for its own purposes. Where we process information solely on a host’s instructions, our responsibilities are also governed by our agreement with that host and applicable law.
Hosts are responsible for their own collection and use of participant information. Their privacy notices may apply alongside this policy and should be made available before registration.
3. Information We Collect
Depending on your interaction with us, we may collect:
- Contact information: Name, email address, mobile number, and address where required.
- Registration information: Event selection, ticket category, participant details, attendance records, and information entered in registration forms.
- Transaction information: Booking references, payment status, transaction identifiers, billing details, and refund records.
- Host information: Business name, representative details, verification documents, tax information, and bank details where necessary for onboarding and settlements.
- Communications: Enquiries, feedback, support requests, and related correspondence.
- Technical information: IP address, browser and device information, website activity, and cookie data, where collected.
- Event media: Photographs, videos, or recordings, as described below.
Where an event requires information about age, accessibility, dietary needs, health, or emergency contacts, the registration form will explain its purpose. We seek appropriate consent where required and limit collection to information relevant to the event.
Required and optional fields will be identified. If necessary information is not provided, we may be unable to complete a booking or provide the requested service.
If you provide information about another person, you must be authorised to do so and make this policy available to them.
4. How We Use Information
We use personal information, as applicable, to:
- Process registrations, issue tickets, verify entry, and manage attendance.
- Facilitate payments, refunds, invoicing, and host settlements.
- Send booking confirmations, reminders, venue changes, cancellations, and other service updates.
- Coordinate event arrangements and respond to support requests.
- Onboard and support hosts and their authorised teams.
- Maintain accounting records, prevent fraud, resolve disputes, and meet legal obligations.
- Understand and improve our website, services, and participant experience.
- Send promotional communications where you have opted in or where otherwise permitted by applicable law.
We will provide an additional notice and seek consent where required before using your information for a materially different purpose.
5. Sharing of Information
We do not sell or rent your personal information.
We may share information with:
- The relevant event host: Information necessary to organise the event, manage your registration, communicate event updates, and provide event services.
- Service providers: Payment processors, hosting providers, communication platforms, event operations providers, and other vendors supporting our services, subject to appropriate confidentiality and data-protection arrangements.
- Sponsors and promotional partners: Identifiable participant information for their own marketing only with your separate, informed consent. Registering for an event does not automatically authorise sponsor marketing.
- Authorities and professional advisers: Where legally required or reasonably necessary to address fraud, protect safety, obtain professional advice, or establish and defend legal claims.
We may also share statistics that do not identify individual participants.
6. Payments
Payments are processed through the payment provider identified at checkout. That provider’s privacy policy applies to information it collects directly.
We receive information needed to confirm transactions, reconcile payments, and process refunds. You should never share your UPI PIN, card PIN, or OTP with JOD Events, event hosts, or support staff.
Any payment-related information handled by us is used only for relevant transaction, accounting, fraud-prevention, and legal purposes.
7. Marketing Preferences
Essential booking and event communications may be sent through email, SMS, WhatsApp, telephone, or other relevant channels.
Promotional communications are separate from essential service messages. You may withdraw your marketing consent using the unsubscribe option provided or by contacting us.
Withdrawing marketing consent will not cancel your booking or stop communications necessary to fulfil it.
8. Photography and Videography
Some events may include photography, videography, livestreaming, or other recording. Where applicable, the registration page and/or event notices will explain the recording arrangements, intended uses, and available choices.
Event media may be used for documentation, event coverage, and promotional purposes on websites, social media, brochures, and other communication channels, subject to applicable consent requirements.
We will seek specific permission for testimonials, featured promotional appearances, or other uses requiring separate consent. Appropriate parent or guardian permission will be obtained for identifiable promotional use involving children.
If you prefer not to be photographed or wish to raise a concern about published media, contact us or the relevant host. We will explain available arrangements and assess removal requests. Avoiding incidental appearance in crowd scenes or removing material already distributed by third parties may not always be possible.
9. Cookies and Similar Technologies
Where used, cookies and similar technologies help operate the website, remember preferences, understand usage, and support marketing.
Information about the technologies actually used will be provided through our cookie notice or settings. Where consent is required, optional analytics or advertising technologies will be activated only after you provide it.
You may manage cookies through the available website controls or your browser settings. Disabling certain cookies may affect website functionality.
10. Children’s Information
Registrations involving participants under 18 should be completed or authorised by a parent or lawful guardian.
Where required by applicable law, we will obtain verifiable parental or guardian consent before processing a child’s personal information. We limit such collection to information necessary for the relevant event and apply appropriate safeguards.
A parent or guardian may contact us with questions or requests concerning their child’s information.
11. Retention and Security
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including event delivery, support, accounting, dispute resolution, and legal retention requirements.
When information is no longer required, we will securely delete it or anonymise it, subject to applicable legal requirements.
We apply reasonable technical and organisational safeguards appropriate to the information we handle. Access is limited to authorised persons who need it for their responsibilities. No storage or transmission system can be guaranteed completely secure.
If a personal data breach occurs, we will take appropriate action and notify affected persons and relevant authorities where required by applicable law.
12. Service Locations and External Websites
Our service providers may process information in India or other countries. Any such processing will be subject to applicable legal restrictions and appropriate contractual safeguards.
Event listings or communications may link to third-party websites or services. Their privacy practices are governed by their own policies. This does not remove our responsibilities for information we collect or share.
13. Your Choices and Requests
You may contact us to request access to, correction of, or deletion of your information, or to withdraw consent. We will handle requests in accordance with applicable law and may verify your identity before acting.
Withdrawal does not affect processing already lawfully carried out. Certain information may need to be retained for legal, accounting, or dispute-resolution purposes. If withdrawal prevents us from providing a requested service, we will explain the consequences.
For information independently held by an event host, you may also need to contact that host. We will assist in identifying the appropriate contact where reasonably possible.
14. Changes to This Policy
We may update this policy to reflect changes in our services, practices, or legal obligations. The revised version will be published with an updated date.
Where required, we will notify you of significant changes and obtain fresh consent. Publication of an updated policy does not, by itself, constitute consent to new uses of your information.
15. Applicable Law
This policy is governed by the laws of India. Subject to applicable law, disputes may be brought before the competent courts in Chennai, Tamil Nadu.
Nothing in this policy limits any right to approach a competent regulator, statutory authority, or consumer forum.
